1. Introduction 

AlertED (“AlertED”, “we”, “our”, or “us”) is committed to protecting your privacy and handling your personal information responsibly. 

This Privacy Policy explains how we collect, use, disclose, store and protect information when you use the AlertED mobile application, website and related services (“Services”). 

AlertED is designed to provide schools, Multi-Academy Trusts (MATs), nurseries, colleges, businesses and other organisations with emergency communication and lockdown alert capabilities. 

By using AlertED you acknowledge that your information will be processed in accordance with this Privacy Policy. 

2. Data Controller 

Customer organisations are normally the Data Controller for information they enter into the platform. AlertED acts as the Data Controller for its website, customer accounts, billing and marketing communications, and as a Data Processor for information processed on behalf of customer organisations. 

3. Information We Collect 

• Account information (name, email, organisation, job title, telephone number where supplied, login credentials) 
• Organisation information (roles, permissions, emergency contacts, organisation details) 
• Emergency response information (alerts, acknowledgements, timestamps, drill participation, incident records, response status) 
• Device information (device type/model, operating system, app version, language, time zone, push notification token, anonymous identifiers) 
• Diagnostic information (crash reports, error logs, performance diagnostics) 
• Usage information (login activity, feature usage, alert activity, drill activity, security events) 

4. Information We Do NOT Collect 

Unless specifically enabled by your organisation, AlertED does not access contacts, photos, videos, microphones, text messages or browsing history. We do not sell personal information or display third-party advertising. 

5. Push Notifications 

AlertED uses push notifications to deliver emergency communications including lockdown alerts, fire evacuation alerts, safeguarding alerts, welfare notifications, drills and test notifications. Disabling notifications may prevent receipt of emergency alerts. 

6. Critical Alerts (iOS) 

Where supported by Apple and enabled by your organisation, AlertED may request permission to deliver Critical Alerts, which may bypass Silent Mode, Focus Mode and Do Not Disturb during genuine emergencies and authorised drills. 

7. Location Information 

AlertED does not continuously monitor location. If enabled by your organisation, location permission will be requested before collection and used only for emergency response, safeguarding or incident management. 

8. Why We Process Personal Information 

To authenticate users, deliver emergency notifications, operate the platform, manage accounts, provide support, improve performance, investigate security incidents, maintain availability, generate reports, support drills and comply with legal obligations. 

9. Lawful Basis 

Processing is based on Contract, Legitimate Interests, Legal Obligation, Consent (where applicable) and Public Task (where applicable). Emergency notifications are an essential function of the service. 

10. Special Category Data 

AlertED is not designed to routinely collect special category data. Where organisations record safeguarding or health information, they remain responsible for identifying the lawful basis. AlertED processes such data only on documented instructions. 

11. Sharing Information 

We never sell personal information. Information may be shared with cloud hosting, notification delivery, security monitoring, customer support and payment providers, authorised customer administrators, or where required by law. 

12. International Transfers 

Where personal information is transferred outside the UK, appropriate safeguards will be implemented. 

13. Data Security 

We use encryption in transit, secure authentication, role-based permissions, audit logging, secure cloud infrastructure, software updates and vulnerability monitoring. 

14. Data Retention 

Personal information is retained only as long as necessary, taking into account customer configuration, contractual obligations, safeguarding responsibilities and legal requirements. 

15. Account Deletion 

Users should contact their organisation administrator or AlertED (where direct account management applies) to request account deletion. Some information may be retained where legally required. 

16. Children’s Privacy 

AlertED is intended for authorised adults. It is not intended for direct use by children. 

17. Your Rights 

Individuals may have rights of access, correction, deletion, restriction, objection, portability and withdrawal of consent where applicable. Requests should normally be made through the relevant organisation where AlertED acts as a processor. 

18. Marketing 

We may contact users who enquire about AlertED regarding demonstrations, product updates, new features and safeguarding resources. Users may unsubscribe from marketing communications at any time. 

19. Third-Party Services 

Trusted third-party providers may be used for hosting, email delivery, push notifications, security monitoring and analytics, and are contractually required to protect personal information. 

20. Cookies 

Our website may use cookies to improve functionality, security and user experience. 

21. Changes to this Policy 

We may update this Privacy Policy from time to time. Material changes will be published through our website and, where appropriate, within the application.
